A roadshow schedule is easier for everyone when the booker, passenger and reservations team see the same addresses and stop order.

List each venue

Name every building and visitor entrance, not only “City” or “Canary Wharf.” Add meeting start, estimated finish and any security entry time.

Identify the traveller

Keep the booker and passenger contacts separate. Name a coordinator who can approve an additional stop or a change of vehicle during the day.

Leave gaps between meetings

Allow for a passenger to exit a building, reach a permitted pickup point and cross London traffic before the next appointment.

Choose a sensible car plan

One retained car may suit a single executive. Separate flights or overlapping meetings may call for two vehicles. Count the group and bags before choosing.

Agree the terms

Ask LDC to confirm the hire length, waiting, parking and extra time in the quote. Request account billing details directly from the booking team.
